📱 Mobile & Shared Tablet App 2.0 - rebuilt from the ground up

The Operandio device app has been completely rebuilt as version 2.0, with a focus on speed, usability, and better on-device workflows. PIN entry is now faster, campaign displays are clearer, and QR codes can take users straight into the right task using deep links.

This update also introduces support for new hardware, including Apera pH testers, Vito oil testers, and Bixolon Bluetooth LE label printers, helping connect your physical tools directly into Operandio.

⏱️ Stopwatch steps in processes - track how long tasks take

You can now add a stopwatch step to any job or process. Staff can start and stop timing directly within the workflow to record how long an activity takes from start to finish.

This is ideal for capturing real-world performance metrics like time to first greeting, service duration, or how long a task actually takes to complete, giving teams better visibility into efficiency and consistency.

📸 Photo and video steps in training - make training practical

Training modules can now include photo and video steps. This allows staff to capture real-time proof of their work or demonstrate a skill as part of completing training.

Instead of relying only on written responses, teams can now show exactly how tasks are done, making training more practical and easier to verify.

These updates are all about reducing friction, improving visibility, and helping teams get things right the first time. More improvements are on the way. 🚀

It’s been a little while since our last big update, but our team has been working hard behind the scenes and we’ve got plenty of exciting things to show you! 🎉

Get ready to explore repeatable steps and action templates, both designed to save you time and keep your operations running smoothly.

✅ Set up repeatable steps to streamline tasks

Operandio now lets you create repeatable steps when building jobs. This is ideal for tasks your teams perform regularly, without creating unnecessarily long checklists or leaving steps out.

For example:

• Restaurants can set up a daily refrigeration check with a standard set of steps for all locations. If a venue has extra fridges, staff can easily repeat the step to add them to the job without recreating the checklist.
• At a family entertainment center, staff might have a checklist step to wipe down all high-touch surfaces. Some days, there are multiple zones, like the entrance, café, party rooms, and play areas that all need attention. With repeatable steps, staff can repeat the same step for each zone, recording a separate response for each area.

Repeatable steps also work with nested jobs. For example, a single goods-in record can include a nested job for each delivery, allowing staff to track multiple shipments individually while following the same structured process.

This feature is available as a toggle within step conditions when creating jobs in the Job Manager, giving you flexibility to apply it only where it’s needed.

By using repeatable steps, your teams can:

• Maintain consistent, reliable procedures across all locations
• Reduce errors and prevent steps from being skipped
• Save time by avoiding repetitive checklist creation

⚡ Action templates – fast, consistent creation

Action templates save frequently used tasks with predefined settings, such as title, priority, and assignee, making it easy for staff to raise actions without rewriting instructions or guiding team members on what information is required.

For example:

• A franchise support ticketing system. This way, the franchisee can raise an action, use the template and have all the relevant details and guidance in place. The raised action can then notify the relevant team if it falls under head office responsibilities or directly to an individual who handles franchisee queries.
• Staff can use a “Recheck temperature” template instead of typing “Please check the temperature again” each time they raise the action. Priority and details are already set.
• Teams can use a “Recalibrate equipment” template with detailed instructions and urgency level for devices that need checking.

Action templates are now available to all customers, with creation of templates restricted to administrators.

🔍 Where to find these features

• Repeatable steps are available as a condition on job steps when building jobs in the Job Manager.
• Action templates are available in the Actions area. Once the template is created, simply raise an action and pick a template.

While we’re gearing up for some major releases arriving very soon (👀 stay tuned!), this week’s update brings several powerful improvements across actions, reporting, locations and training content.

Here’s what’s new:

📍 Location Manager - Now in the Main Navigation

The Location Manager has moved into the left hand navigation and now supports richer location details. You can store contact information, opening hours and important documents such as contracts, agreements or lease files, all in one central place.

This is ideal for multi-site operators and franchise networks, and paves the way for part of a wider update arriving very soon.

🧠 Enhancements to Conditional Logic

Conditional Logic has always been part of Operandio, but we’ve made a few small improvements to how it works and wanted to give you a quick refresher on what’s possible.

You can use Conditional Logic to show or hide actions, notes or steps based on how a user responds during a check. For example, if an issue is reported, an action can appear automatically. If everything looks good, you can keep things simple by displaying only the relevant notes or steps.

These refinements help keep workflows clean and ensure your team only sees what they need at the right time.

🚩 New Status: Deferred Actions

We’ve added a new Deferred status to help teams better manage actions that can’t be completed immediately.

What are Deferred actions?
Deferred means the action is still outstanding but has been put on hold indefinitely to be resolved at a later date. It's a good way to separate out current Unresolved actions from older ones that might still be sticking around. You might find yourself using the Deferred status if you have actions that are:

• Waiting on external approval
• Waiting until a specific time or date to be resolved

It removes the action from your active work without losing visibility or having to keep it marked as Unresolved. Deferred actions appear in the Existing Actions section of PDF reports, giving managers clearer oversight of all outstanding items without including every open status such as Blocked or In Progress.

🏷️ Labels Reporting & Pinning

The new Label Report is now live in the Reports area, giving you clear visibility into label usage across your organisation. You can filter by date range and location to see exactly how many labels each location is printing; perfect for compliance, auditing, and understanding operational activity at a glance.

Within the Labels section of the platform, you can also pin key labels so they’re always right at your fingertips. You can do this from the overflow (3 dots) menu for labels in your account. This makes it easier for teams to access frequently used labels without searching, helping streamline daily printing and reduce time spent navigating the system. 

🎓 LMS Update - SCORM Support

Operandio now officially supports SCORM 1.2 and SCORM 2004 training packages.

You can upload your existing SCORM content directly into the platform and still take advantage of Operandio’s native training tools - including quizzes, scoring and full compliance tracking. This gives you the flexibility of SCORM with the simplicity of Operandio’s LMS.

We’ve rolled out several small performance improvements and bug fixes, along with more behind-the-scenes work as we prepare for multiple new releases before the end of the year.

Here’s what’s new:

🎯 Auto-Assign Training Courses

You can now automatically assign training courses and observations when users are added to a group or location — ideal for ensuring new team members are onboarded with the right training from day one.

Set this up in the Training Manager when assigning a course. You’ll see a new tab called “Automated Assignment”, where you can select the location, area, and permission level of the employees who need to complete the course.

✨ Bonus: You can also set up recurring training assignments (e.g. every 6 months), so your team is regularly refreshed with the most up-to-date content — no manual follow-up required. As your course content evolves, so does your team's knowledge. One less thing to worry about!

📷 Uploads Reporting Tab

A new Uploads report is now available for users with Full Administrator permissions.

Available under the Reports section, the Uploads tab allows you to view, filter, and manage all photos and documents submitted through reports — making it easier than ever to keep track of uploaded media across your organisation.

🛠️ Other Fixes & Improvements

• Fixed: Observations were unable to be assigned to staff due to certain permission setups
• Fixed: Training reports were not accessible to some Regional Managers
• Fixed: @mentions formatting issues in Comms Hub posts and comments have now been addressed
• Fixed: We've fixed some of the crashes and performance issues reported in the Training Manager when editing certain modules, and are aiming to increase performance in this area even more in the coming weeks

📸 Upload GIFs to Knowledge Base and Training Content

You can now upload GIFs to your Knowledge Base articles and Training content! Add motion to your documentation and make learning more visual and engaging.

🖼️ Image Resizing in Knowledge Base

Need to adjust the size of images you upload? You can now resize your images using the drag handles after uploading them to Knowledge Base articles and Training Modules.

🏷️ Multi-location Labels

Labels can now be assigned to multiple selected locations in your business. Refer to the Creating a new label section in our help article for more information on how these label category updates work.

📝 Optional Action Descriptions

To speed up the creation process, the Action Description field is now optional when raising Actions.

🐞 Bug Fixes

• We've fixed an issue where Knowledge Base @mentions weren’t linking properly in the LMS.
• Resolved a bug where content didn’t update after clicking Finish editing in the LMS editor.
• Improved render performance in the Training Manager for a smoother experience.
• Fixed a bug with the Command Menu mysteriously disappearing in the Knowledge Base editor.
• Addressed a problem where square brackets were causing issues with @mentions in Posts and Actions.

🔗 Assets: View Linked Jobs in the Asset Viewer

We’ve improved the way you track jobs tied to specific assets. While jobs could previously be linked to assets via selection steps, they weren’t visible within the asset itself - until now.

A new “Jobs” tab has been added to the Asset Viewer, allowing you to easily see which jobs have been linked to an asset. Each job in the list is clickable, so you can quickly access full job details without having to search elsewhere.

This makes it much easier to review work history, schedule upcoming tasks, and keep everything aligned across your equipment and locations. This is another step towards a full-form Asset Management system that will soon be coming to Operandio!

📱 Experience Improvements & Bug Fixes

🛠️ Actions Filters on Mobile: Improved filtering by location and area for smoother action management.

🏷️ Filter on Actions Linked to Assets: Easily find actions associated with specific assets.

📅 Location Opening Hours & Job Due Times
You can now set location-specific operating hours and adjust job due times based on your venue’s opening and closing times.

• Set Location Operating Hours: Easily configure your venue’s operating hours directly in the system.
• Due At Settings: Jobs can now be automatically set to be due a specific number of hours before or after your venue opens or closes. This ensures tasks are completed either before operations begin or after they end, automating your scheduling and reducing manual work.

This feature helps improve consistency and efficiency across locations, ensuring tasks align with operational hours.

🔗 Early version of Work Orders now live: link actions to assets

Now, you can link actions directly to assets, with these linked actions visible both in the Assets Screen and Actions Screen. Use this update to raise work orders for equipment or assets that need maintenance, repairs or servicing. Linked actions appear in both the Assets and Actions screens, improving tracking and streamlining workflows. This is the first step towards a full-form Asset Management system that will soon be coming to Operandio!

🏷️ Add Images & Logos to Labels

Make your labels more visually appealing and easier to identify by adding images and logos! This feature is still in early testing, and we’d love for you to be part of it! Contact us to try out these new features and share your feedback.

• Portuguese Language Updates: Based on customer feedback, we’ve expanded our Portuguese language support.
• Completed Training Modules: Users can now view content from completed training modules.

• Rearrange Answers in Training Modules: Trainers can now shuffle or rearrange answers in question-based training modules.
