USB label printing, action updates and location selector changes

New for this release is the addition of USB label printing for Android, as well as a couple of functionality changes to Actions and the Location Selector. 🎉

Label printing via USB is now supported on Android

In addition to the standard Bluetooth connection, you can now connect to supported label printers via USB cable to print your labels. This is ideal for businesses that already have hardware they want to leverage within Operandio. Currently supported are Zebra, Gainscha and BIXOLON printers, however we can support other makes as well - please get in contact at support@operandio.com if you're interested in reusing your current printers. 

To get started:

  1. Firstly, make sure your Operandio Android app is up to date
  2. Ensure your label printer is powered on and you have the USB cable handy. If your Android device has a USB-C port you'll also need a dongle or hub between your device and the printer. 
  3. In the Operandio app, navigate to Labels and select a label to print
  4. In the label printing window, tap Please select a printer to bring up the printer selection window
  5. Connect the printer to your Android device via the USB cable. Please note: If you're using a Zebra printer and you see a prompt pop up from the Zebra Printer Utility asking for permission to handle the printer here, select Cancel as we'll handle this separately.
  6. Tap Refresh in the printer selection screen and wait for the USB printer to show up in the list of available printers
  7. Select the printer and you should see a pop up asking for permission to let Operandio access the device - tap OK
  8. Once connected, you should be good to go forth and print!

Additional action updates

There are a couple more updates to Actions in this release with the addition of a new priority setting of Critical for urgent issues. Critical actions will be the most prominent on the assigned users' dashboards to ensure important issues get attended to quickly. You can also now set the Status of an issue when creating it as well, rather than having it default to Unresolved.


Location selector upgrade

The location selection screen has also seen a few changes. It's now clearer at a glance if any of your business locations are inactive, and it also now features location grouping by region, as well as improved performance for large numbers of locations.

Action updates and reporting enhancements

New for this release are some handy updates to the Actions section of Operandio to help you effectively manage issues within your business.

New action statuses and tagging

Additional statuses are now available for Actions. Rather than just being Unresolved or Resolved, you can now specify an action to be In Progress, Blocked or Cancelled to give a better indication of how it's going.

Certain status changes will also require employees to leave a note explaining what they've done to justify the change (e.g. "I've fixed the printer"). This means better visibility for others watching the action so they can quickly see what's blocking an issue or what was done to fix it.

Another new feature within this area is the ability to tag actions so they can be quickly located later on. By default, actions raised in a job will use any tags on the job but you're free to add more if you like. The option to add tags will be available when creating or editing an action.


Reporting enhancements

Related to the above action updates, the Reports screen has seen some changes to help monitor them. To check on the status of the actions in your business, you can view them within the Actions tab of the Reports area in Operandio.

  1. Navigate to Reports -> Actions
  2. In the Actions by location section, click the pie chart of the location you want to view
  3. This will open a table view of all the actions raised in the location as shown above


Quick look at Suppliers or Assets

When selecting assets or suppliers in a Selection response type, you can now get a quick overview of the asset or supplier through the link below the selection box. Great if you need to check you've got the correct one or grab a contact number.

Clicking or tapping this link will pop up an overview of the Asset or Supplier without leaving the current job.


And a couple of other things...

  • 🎥 Knowledge Base articles now have support for Loom videos
  • 🐛 We've fixed a bug on iOS so it now allows sharing of downloaded files and PDF reports by message or email (make sure you've got the latest version of the app from the App Store)

New trigger event type and reminder notifications

A couple of new updates in this release to help ensure your jobs get completed on time! 

Triggers are now available for job creation events

Triggers now have a new Job Created event, so assigned users can receive notifications when a job becomes available for them to complete. The process for creating a trigger with a Job Created event is the same as creating any other event-based trigger — for more information on this, refer to our help article that will walk you through the steps.


Reminder notifications


When creating a schedule for a job, you can now enable reminder notifications to alert assigned employees when it's coming due. Employees will then get a single reminder notification that is calculated based on the available time they have left to complete the job. Soon, you'll be able to create multiple reminders for a specific number of days or hours in advance of the due time.

Reminders can be enabled for Recurring, Ad hoc and One off schedules - you'll just need to make sure your schedule has a Due time for this option to be available.


And some further improvements...

  1. 🚀 The team has continued to implement significant upgrades to our virtualisation and data loading system. This has resulted in even better performance, the application should now be lightning fast and at least double the speed and power than before!

Selection responses, actions enhancements and reporting updates

It's a shorter set of release notes this month as the team continues to work away on bigger features behind the scenes. Plenty of good stuff in the works! 

Selection response types are here

The new Selection response type allows you to quickly pick from Suppliers, Assets or Users when working through jobs, making it quicker and easier than typing responses manually. You can also create your own custom lists to select from when creating the job as well. 

You'll find the new Selection response type when adding a step to a new or existing job in the Job Manager:

  1. Navigate to the Managers Hub -> Job Manager
  2. Create a new job by clicking Create Job, give it a name, then add a new step. 
  3. Choose Selection in the Type of step field. You can choose where you want to pull your data from (or create a custom list) and whether you want to allow single or multiple answers.


Action enhancements and new reporting area

When raising actions, these can now be assigned a priority level and a due date so you can prioritize the most important actions in your business. High priority and overdue actions will take preference on the assigned user's dashboard to ensure nothing gets missed.  

To accompany this, we've also introduced a new section within the Reports area that will give a high level view of actions raised and resolved across your entire business. This can be accessed by navigating to Managers Hub -> Reports and selecting the Actions tab.


PDF updates for jobs with nested steps

PDF reports have seen a change in how nested steps are displayed. We've previously shown the responses within nested steps at the end of the PDF report, however this can sometimes break up the readability and flow of information when you've got a number of them within one job.

Nested steps are now displayed inline at their appropriate place in the job report - you'll notice a small summary and a slightly different step number to indicate this.


And a few more things...

  1. 🚀 The team has made some significant upgrades to our virtualization system and data loading setup for job list components. Loose translation: More speed and better performance
  2. 👻 Section and Information steps can now be excluded by location when creating jobs, so you can hide them where they aren't required.
  3. 👉 If you haven't already, make sure you grab the latest versions of the Operandio app from the App Store or Google Play

Bluetooth support, updated job cards and unscheduled audits

Some great updates this past week! The team has been furiously coding to get new features rolled out to our customers, so let's get into it.

Bluetooth thermometer support in Number responses

Number responses can now be taken directly from supported thermometers via Bluetooth! When setting up a Number response step in a process or audit, you now have the option to get the response value straight from a supported device - perfect for busy kitchens and restaurants. Simply choose Bluetooth device in the Number entry method field when creating your response step:

When completing the step in a job, just tap the Bluetooth icon, select the device and tap to record the value. Of course, you've still got the option to enter the value manually if you don't have a Bluetooth device handy as well.




🤝 Unifying Processes and Audits

We introduced Audits several months back and while the new functionality has been well received, there's been some questions around when to use a process and when to use an audit. We've listened, and we'll be rolling out more changes soon to consolidate processes and audits together and make the whole process (pun intended) easier for our customers. To start, we've done the following:

Job cards have had a makeover

You might have noticed your job list is looking slightly different in Operandio today and that's because we've started to roll out a refreshed job card. This keeps the process/audit name and run date clearly visible, and any custom names that you give to your ad hoc jobs are now also displayed. Schedule names will still be displayed for recurring jobs of course, but there's now a clearer link as to what process or audit they're related to. 

Alongside this, we've also combined the existing percentage bars and status tags into a newly styled tag that gives a clear indication of where each job is at.


Simplified running of ad hoc jobs

We've now combined your ad hoc processes and audits into a single list which you can access by clicking Run ad hoc job in the Jobs screen. When running an ad hoc job, you'll also no longer need to supply a title - just select it and run. If you need to add a custom title to a job to make it more memorable, you can always do this in the job itself using the Add optional title field as shown above.




Unscheduled processes and audits

If you use Operandio's Nest an existing process response type to create complex jobs, you might have created some processes or audits along the way that you don't want to be run on their own. For instance, it might be an equipment maintenance process that has no context outside of a master job or would never need to be run individually.

To solve this problem, we've now included an additional scheduling option of Unscheduled that will be available when selecting the schedule for your process or audit. Unscheduled processes or audits won't appear in your searches and they can't be run outside of their master list so they'll only be visible to staff when they're needed.


Quicker access to individual job PDFs

In the Reports area, you can now download individual job PDFs when viewing the reports for a particular process or audit. Select an individual process or audit to view in the Jobs tab, and then access individual PDF reports by clicking the PDF download button.


A few more bits and pieces: 

  1. 📦 We've added an Account number field to the Suppliers area to make it easier to match up your suppliers in Operandio to other software using existing codes or ID numbers.
  2. ☎️ Phone numbers for contacts can now be quickly viewed when clicking a supplier contact from the main Suppliers area.
  3. ⚡️ The Operandio iOS and Android apps have been updated to version 1.1.4, which contains Bluetooth device support and a number of updates and fixes, so we recommend updating as soon as possible.

February 2024 - Training, Triggers and more

It's just about February already! We've added new features across several areas in Operandio.

Training course score visibility

When creating or editing a training course, managers now have the option to display the user's score to them once the course is completed. Employees can view their score in the Your Training area of their profile, and via email once the course is complete. To enable this feature, simply check the Show user score checkbox when creating or editing a course.


Triggers area updates

It's now possible to set the target of a trigger to the assigner of a training course, which is great for trainers that want to get notified when their courses are completed. To get started with this feature:
  1. Create a new event-based trigger
  2. Ensure Which event(s) should this trigger respond to? is set to User Training Course Completed and then select the appropriate course(s)
  3. In the field What should the trigger do?, select Send a communication to the Operandio user that assigned the course
  4. Select your communication methods and locations and save your trigger
We've also made a couple of changes in the Triggers area to make life easier for those managing multiple triggers. You can now assign a name to individual triggers to make them more memorable, and we've also added search and filtering options to allow you to narrow them down to name or location.


Skip uncompleted steps when submitting audits

Having to skip multiple steps in an audit can be a bit of a repetitive process, so we've now added the option to Skip steps and submit when submitting an audit. 

This option will be shown if you have any uncompleted steps upon attempting to submit, so simply select this option to skip them (as well as any uncompleted steps in any nested processes) and submit the audit.


Some more highlights

There have also been several other small updates in the latest releases:

  1. ✅ A new Number rating (1 to 20) response type (for when 10 just isn't enough!)
  2. 🎯 Custom scoring for steps now allows the use of decimal numbers to 1dp for fine-grained scoring
  3. 🐛 A number of bug fixes and behind-the-scenes speed tweaks, especially in the Reports area

January 2024: Suppliers and more

The Operandio team is full steam ahead for 2024, starting with the launch of the new Suppliers section — and a couple of other nifty features. 

Manage your suppliers and vendors

The new Suppliers section allows you to track all the suppliers you're dealing with in your day-to-day business. You can add multiple contact details for each of your suppliers and build up a centralized contact database for your team.

Coming soon, we'll also be integrating them into response types so you can quickly select suppliers when completing jobs, as well as adding the option to add and manage supplier certifications.

We'll be rolling out Suppliers to all accounts shortly, but if you'd like to take a look before then, please get in touch.


Attach images and files to any step

You can now add images and files to any step in a job via the Add note/media button (previously called "Add note"). Images speak a thousand words, so the next time you need to leave a note on a job step, you'll be able to snap a few photos or attach a file and clearly communicate any issues relevant to the step.


New file submission response type

We've also introduced file uploads with the new File submission response type. When creating a new step in a process or audit, simply choose File submission in the Type of step field. Then, when you're working through the job, simply upload any files from your computer or device and they'll be ready to access come compliance time.

December 2023: Custom Scoring

Just in time for the New Year, we've added custom scoring to our audits. This means you can now assign specific score values for any supported response types.

With this new feature, you can assign higher or lower scores (even negative ones!) to each of the responses in a step so you can weight different aspects of your audits to better fit what's important to your business. 

It's easy to access custom scoring when creating or editing an audit:

1. Select a supported response type. The current supported response types are:

  • Number rating (1 to 5)
  • Number rating (1 to 10)
  • Yes, No
  • Yes, No, N/A
  • Pass, Fail
  • Compliant, Not Compliant

2. Enable the Custom scoring condition on the step

In the Conditions section of the step, enable the Custom scoring toggle and enter the score you want to use for each of the available responses. If you want any responses not to count towards the final step score, you can select the No score toggle.

That's all there is to it! These custom scores will then be reflected in your reports when an audit is submitted.
