Incremental Improvements & Enhancements Across the Platform

We’ve rolled out a series of updates this week focused on making the Operandio platform faster, smoother, and easier to use. These changes include a highly requested new feature and a range of improvements across the Knowledge Base and LMS.

📢 New Feature: Native Video Upload in Comms Hub

A heavily requested feature is now live — you can now upload and attach native video files directly to your Comms Hub posts, straight from your device! Perfect for sharing quick updates, training snippets, or visual announcements with your team.



📚 Knowledge Base & LMS Updates Now Live:

  • Internal app links in the Knowledge Base now open in the same window for a more seamless experience.
  • Fixed an issue with dragging and dropping multiple files into a KB article.
  • Removed article previews in the “Recently Updated” section to resolve bullet point overflow issues.
  • Improvements to the “Move” dialog in Knowledge Base – category views now update properly when moving articles.
  • The KB editor now correctly applies custom theme colors in edit mode.
  • Removed “untitled” labels from unnamed course steps to keep content clean and professional.
  • Location managers can now edit Knowledge Base articles for their assigned sites, just like they can with jobs.
More enhancements are in the works — as always, thanks for helping us shape Operandio into the best tool for frontline teams.

New BI integration, photo upload enhancements and more


We're back into it for 2025 and there's a lot on the roadmap! Here's a quick update on some of the new features that we've recently released.

New Business Intelligence (BI) integration for enhanced reporting

Operandio now integrates with your existing Business Intelligence tools such as Microsoft Power BI and Tableau to allow you to extract powerful insights from your data. With this new integration, you can capture and analyze metrics around job completion, staff training and more. Reach out to us if you're interested in setting up this integration within your account.


Photo upload enhancements

You can now add shapes, numeric markers, and freehand drawings to uploaded photos as part of image responses, added notes, or raised actions. Once you've taken a photo on your device, simply:

  1. Tap the photo thumbnail to edit it.
  2. Use the toolbar on the right to add shapes, markers or drawings to the image to highlight any important areas. If you make a mistake, simply hit the Undo icon.
  3. Save your edits with the green checkmark and upload as usual!


Contextual information in training reports

We've made a couple of small changes here to bring in contextual training information when reviewing staff training. You can now access course completion details by clicking either the staff member name or the score of a course they've completed. The module scores they achieved will then be shown so you can get a detailed view into each of their quiz answers without leaving the Reports area. You can access this through the Managers Hub, and then Reports > Training.


You might have missed...

  1. Deputy Integration Update: If you're using the Deputy integration to manage your staff, we've made an update to automatically set staff as Inactive in Operandio if they've been archived in Deputy. This check will occur each time your Deputy account is synced with Operandio.
  2. New Sensor Support:  We now support the Emerson Lumity Bluetooth LE Cooking Oil Testers for monitoring cooking oil quality. You can use this just like any other device within an Operandio job by connecting via Bluetooth — check out the quick video run-through for more info.
  3. Knowledge Base Kiosk Restrictions: Regional Managers and Administrators can now restrict certain Knowledge Base articles to be viewed only on kiosk devices within your business. This option is available when creating or editing an article — simply check the Restrict article access to kiosk devices checkbox to activate.


Bugfixes

  • 🌡️ On-page performance has been increased for venues monitoring a large number of sensors in the Sensors area
  • 🔍 Fixed an issue where search results were no longer resetting correctly after navigating to the "More results" in the search bar.

More reporting updates and UI customization

This month sees some more improvements in the Reports area for step completion insights, along with the ability to customize parts of the Operandio interface, and new trigger options for keeping an eye on raised actions.

Single step reporting

This has been the subject of a few requests here at Operandio! Within the Reports area, you can now drill down to individual steps within a job to view responses across multiple days and locations, all within one screen. It's now much easier to compare the exact same step response at all your business locations and see where steps are being completed correctly (or not).

UI customization

If you're an Enterprise customer, you can now personalize parts of the Operandio interface to better reflect your brand. Update the logo that is displayed within the header of the desktop app and on mobile devices, the color of interactive elements such as buttons, checkboxes and icons, and the site title and favicon too. Get in touch with us at support@operandio.com if you'd like to have this option added to your account.


New triggers for action events

You can now set up event-based triggers for when actions are raised, updated, become overdue or get commented on within specified jobs. So even if staff aren't assigned to the action, or they don't have an Operandio account, they can still get a heads-up on it. These can be set up the same as other event-based triggers - check out the help guide for more information.


Record temperatures via Bluetooth device buttons

We've improved usability for temperature recording via our supported Bluetooth measurement devices, so you can now quickly record temperatures using the button on the probe or thermometer, rather than having to press the "Record temperature" button in Operandio.


Bugfixes

  • ✏️ Fixed an issue where notes that were left on nested jobs were not displaying in exported PDFs
  • 📍 Fixed a bug where jobs were — depending on schedule settings — being generated for inactive locations 
  • 📄 Resolved an issue where nested jobs were not appearing in CSV file exports of jobs

New reporting and translation features (major product announcements!)

Some MASSIVE updates have been added to our platform this month at Operandio! We've been busy working away on giving our users more clarity into what's going on in their business through improved reporting, as well as enhanced usability with app translations.

Reports gets a BIG makeover

You may have noticed the new Reports section has started to roll out across Operandio. This will allow much better visibility across your completed jobs, the status of raised actions and the training status of your staff.

If you haven't already, you can access Reports through the Managers Hub dropdown in the main navigation bar.

We'll be continuing to make further updates and add features to this section, including flexible charts, new download and exporting functionality, as well as reporting for those using sensor hardware. Watch this 10-minute overview to see the new reporting area in action:


Translation options are now available

Operandio is now available to view in Japanese, Korean and Spanish! You can access the language switcher through your profile icon dropdown in the top right corner of your screen on desktop and mobile devices:

Your content (such as Jobs, Articles and Posts) in Operandio will remain unmodified to ensure there's no translation differences between content you create and how it looks to the viewer. However, we've also added an option in the Knowledge Base to temporarily translate articles for reading using Google Translate. This will appear above the article if you have one of these new languages enabled.

We'll be gradually adding in more translations to get better coverage of the platform over the coming weeks and months. Please get in touch with us if you have a language you would like to see supported within Operandio.

Catching bugs

A number of bug fixes have also gone live recently.

  • 🧑 Fixed a bug where the Location filter within the People section was not filtering correctly
  • 📌 Fixed an issue with jobs not remaining pinned when they moved to Awaiting Submission status
  • 🚩 When an action was raised from a job step, tags applied to the action were not being saved - this has now been resolved
  • 🌡️ We've had some reports that some users were unable to enter a negative number into the number input field on a mobile device (such as a negative temperature). A button to switch between negative and positive numbers should now be visible on all devices as shown below:

PDF viewer, new response type and a number of smaller updates

This week sees a new PDF viewer rolled out on kiosk and mobile devices, the Satisfaction response type, plus a number of small improvements and bugfixes to enhance your Operandio experience.

New PDF viewer

Downloaded PDFs can now be viewed directly within the Operandio app via a new built-in PDF reader which makes it easier and faster to view job reports without having to leave the app. There is support for both vertical and horizontal page layouts, searchable table of contents, and of course, you can still share or email the downloaded files if needed.


Satisfaction response type

The Satisfaction response type has been added to Operandio, which is great for gathering customer feedback and sentiment. You can add this new response type to your jobs in the Job Manager - you'll find it under Buttons when selecting the response type for a step. 


A number of quick improvements...

  1. The amount of completed steps within a job section will now show when the section is collapsed, so it's easier at a glance to tell how each job section is tracking
  2. Previously, skipping a nested process meant the nested steps within it were hidden away. These can now be accessed, even if they're skipped
  3. Once training articles are "marked complete", you're now automatically moved to the next article in the module to help speed up the training process
  4. The kiosk login screen will now automatically update staff name and photo changes, and also remove users from the "recent logins" section that are no longer in the staff list
  5. To make it quicker for other staff to login, the kiosk PIN pad will reset after 15 seconds if a user doesn't login
  6. Managers can now search by email address and attributes in the People section of Operandio


...and a host of bug fixes

  • 🗑️ Fixed an error that would occur when deleting multiple posts in the Comms Hub
  • 🏷️ Fixed some permission errors that would sometimes pop up when deleting labels
  • 🔍 Fixed an issue with search results not linking correctly through to relevant jobs and posts
  • ↩️ Operandio was crashing on certain Lenovo tablets when the tablet was rotated - this has now been resolved
  • 📜 Fixed an error that would prevent scrolling when writing a Comms Hub post

New integrations and training module triggers

There's been a fair bit of "behind the scenes" work happening recently, with a couple of new integrations to allow better syncing between Operandio and external staff management platforms.

Ento and OPMS Integrations

Operandio now offers integrations with Ento (part of Humanforce) and OPMS to allow for easy staff management, rostering and syncing between platforms. There's a little bit of setup involved with both of these, so if you're looking to integrate either of them with your Operandio account, please get in touch with us at support@operandio.com to get the ball rolling.


Training module completion triggers

You can now trigger notifications when individual training modules are completed by staff. This is great if you're wanting to stay updated on completion of a specific part of your training course. You can create triggers for training modules in the same way as you create any other event-based trigger - see the help article on creating triggers for more detail.


A couple of bug fixes...

  1. 🗑️ We've fixed some permissions problems that were cropping up when trying to delete Knowledge Base articles and categories. 
  2. 💼 Fixed an issue that was occurring when copying job templates with nested steps from the template library
  3. 📄 CSV downloads in the People area now include users' accreditation status

Action updates, post summaries and custom permission levels

This month's update brings some much-requested extra functionality for Actions, a small Comms Hub update, and a new section for permissions management.

Default assignees for actions raised on jobs

One of the more popular feature requests we've received! With this update, you can now set default assignees for any actions raised on a particular job. 

When staff raise an action while working through the job, it will now be automatically assigned, ensuring the right people get notified when something goes wrong. Staff can still add additional assignees to the action if they think they're required as well.

Default action assignees are set per schedule on a job — you'll see this new field when creating or editing a job in the Job Manager.


Comms Hub post summaries

When creating Comms Hub posts, it can sometimes be tricky to gauge how many staff your message is going out to. To fix this, we've added in a small summary to the Comms Hub that shows when you're creating a post. This will display how many staff will receive your post, how many locations you're posting to, any actions required from staff, and also give you a nudge if you're targeting a large number of people at several locations. 


Permission levels area

Lastly, we've added a Permission levels area that you can use to adjust permissions for the staff in your organization. This is a powerful tool for administrators that allows you to customize Operandio to your business by restricting or granting access to a range of different features in the platform. Make sure you're up to date

⚡️ Version 1.1.6 of the Operandio app has just been released with some Bluetooth enhancements and bug fixes. Get the updated version at the App Store or Google Play.

USB label printing, action updates and location selector changes

New for this release is the addition of USB label printing for Android, as well as a couple of functionality changes to Actions and the Location Selector. 🎉

Label printing via USB is now supported on Android

In addition to the standard Bluetooth connection, you can now connect to supported label printers via USB cable to print your labels. This is ideal for businesses that already have hardware they want to leverage within Operandio. Currently supported are Zebra, Gainscha and BIXOLON printers, however we can support other makes as well - please get in contact at support@operandio.com if you're interested in reusing your current printers. 

To get started:

  1. Firstly, make sure your Operandio Android app is up to date
  2. Ensure your label printer is powered on and you have the USB cable handy. If your Android device has a USB-C port you'll also need a dongle or hub between your device and the printer. 
  3. In the Operandio app, navigate to Labels and select a label to print
  4. In the label printing window, tap Please select a printer to bring up the printer selection window
  5. Connect the printer to your Android device via the USB cable. Please note: If you're using a Zebra printer and you see a prompt pop up from the Zebra Printer Utility asking for permission to handle the printer here, select Cancel as we'll handle this separately.
  6. Tap Refresh in the printer selection screen and wait for the USB printer to show up in the list of available printers
  7. Select the printer and you should see a pop up asking for permission to let Operandio access the device - tap OK
  8. Once connected, you should be good to go forth and print!

Additional action updates

There are a couple more updates to Actions in this release with the addition of a new priority setting of Critical for urgent issues. Critical actions will be the most prominent on the assigned users' dashboards to ensure important issues get attended to quickly. You can also now set the Status of an issue when creating it as well, rather than having it default to Unresolved.


Location selector upgrade

The location selection screen has also seen a few changes. It's now clearer at a glance if any of your business locations are inactive, and it also now features location grouping by region, as well as improved performance for large numbers of locations.

Action updates and reporting enhancements

New for this release are some handy updates to the Actions section of Operandio to help you effectively manage issues within your business.

New action statuses and tagging

Additional statuses are now available for Actions. Rather than just being Unresolved or Resolved, you can now specify an action to be In Progress, Blocked or Cancelled to give a better indication of how it's going.

Certain status changes will also require employees to leave a note explaining what they've done to justify the change (e.g. "I've fixed the printer"). This means better visibility for others watching the action so they can quickly see what's blocking an issue or what was done to fix it.

Another new feature within this area is the ability to tag actions so they can be quickly located later on. By default, actions raised in a job will use any tags on the job but you're free to add more if you like. The option to add tags will be available when creating or editing an action.


Reporting enhancements

Related to the above action updates, the Reports screen has seen some changes to help monitor them. To check on the status of the actions in your business, you can view them within the Actions tab of the Reports area in Operandio.

  1. Navigate to Reports -> Actions
  2. In the Actions by location section, click the pie chart of the location you want to view
  3. This will open a table view of all the actions raised in the location as shown above


Quick look at Suppliers or Assets

When selecting assets or suppliers in a Selection response type, you can now get a quick overview of the asset or supplier through the link below the selection box. Great if you need to check you've got the correct one or grab a contact number.

Clicking or tapping this link will pop up an overview of the Asset or Supplier without leaving the current job.


And a couple of other things...

  • 🎥 Knowledge Base articles now have support for Loom videos
  • 🐛 We've fixed a bug on iOS so it now allows sharing of downloaded files and PDF reports by message or email (make sure you've got the latest version of the app from the App Store)

New trigger event type and reminder notifications

A couple of new updates in this release to help ensure your jobs get completed on time! 

Triggers are now available for job creation events

Triggers now have a new Job Created event, so assigned users can receive notifications when a job becomes available for them to complete. The process for creating a trigger with a Job Created event is the same as creating any other event-based trigger — for more information on this, refer to our help article that will walk you through the steps.


Reminder notifications


When creating a schedule for a job, you can now enable reminder notifications to alert assigned employees when it's coming due. Employees will then get a single reminder notification that is calculated based on the available time they have left to complete the job. Soon, you'll be able to create multiple reminders for a specific number of days or hours in advance of the due time.

Reminders can be enabled for Recurring, Ad hoc and One off schedules - you'll just need to make sure your schedule has a Due time for this option to be available.


And some further improvements...

  1. 🚀 The team has continued to implement significant upgrades to our virtualisation and data loading system. This has resulted in even better performance, the application should now be lightning fast and at least double the speed and power than before!
